Menu Selection and Guarantees
Final menu selections are due no later than fourteen days prior to the event date. A final guarantee is due five business days prior to the event date. Guarantees are not subject to reduction. Depending on the type of event, Gaston Catering will be prepared to serve no more than 10% above the guaranteed number for groups up to 200 and no more than 5% for groups greater than 200. The customer is responsible for 100 percent of the guaranteed number.
Tasting Appointments
After reviewing your proposals and the custom menus created for your event; we are happy to schedule a tasting appointment with you and our event planner to finalize menu selections, wine parings and event details. One tasting appointment for two guests in provided complimentary. Additional guests attending the meeting with are charged the stated menu price for the items that will be served.
Payment Requirements
A non-refundable deposit of 25% of the estimated revenue is required at the time of booking for any food & beverage event. The final balance is due three business days prior the event date. The following forms of payment are accepted: company check, cashier's check, bank check, bank wire transfer, or MasterCard / Visa/ American Express. All payments must be in U.S funds made payable to Gaston Catering. Organizations with a tax-exempt status must submit proof to Gaston Catering no less than two weeks (14 days) prior to the event.
Rental Equipment
As a part of our services, Gaston Catering is happy to provide you with a rental quote based your event requirements. We generally work with Classic Party Rentals & Americas Party Rentals. Please let us know if you prefer a bid from someone else. Unless otherwise arranged, the client is responsible for accepting the delivery of the rentals. The client is responsible for all charges due to shortages and damages to the rental items.
Excess Food
Due to health regulations, excess food items from events served by Gaston Catering may not be taken from the event site by the customer. Items purchased for customer pickups or self-service events (bulk or trays purchased) are the property of the customer. Any leftover items may not be returned to Gaston Catering for credit.
Floral Arrangements
Floral centerpieces are available for an additional cost. The centerpieces remain the property of Gaston Catering. Appropriate charges will be incurred by the customer for missing or damaged arrangements.
Alcoholic Beverage Policy
Alcoholic beverage sales are regulated by the State of California and ABC laws. Requests for events with alcohol must be submitted to Gaston Catering at the time of booking reservation. Gaston Catering provides full bar set up for a fee of $200.00 per bar. Bar supplies include garnishes, such as lemons, limes, olives and onions, and bar equipment such as cork screws, straws, pourers, ice scoops, etc. Water and ice for the entire event is included with the full bar set-up fee. The client is responsible for providing all alcoholic beverages. Please let us know if you would like assistance determining beer, wine, champagne and alcohol quantities. We do not charge an additional “corkagerdquo; fee.
Outside Food Additions
With the exception of wedding cake and certain desserts, all food items must be provided by Gaston Catering.
Cancellations
Should a food and beverage event be cancelled less than thirty (30) days prior to the scheduled event date, 50% of the estimated revenue, based on menu and event arrangements, is due to Gaston Catering.
Service Charge & Gratuities
All Pricing is subject to an 18% taxable service charge and current California state sales tax. The Service Charge includes all meetings, site walk through, rental arrangements and updates, and administrative costs acquired throughout the planning process of your event. It is based on 18% of the food and beverage estimate. The Service Fee is not a gratuity. Additional gratuity is at the discretion of the client. It is never required, but always appreciated.
Service and Labor Charges
Service staff will be charged at $150.00 per a six hour period. A $150.00 bartender fee, will apply for a six hour period. A $150.00 carver fee will apply per attendant. Additional hours of service will be charged at $20.00 per hour, per staff member.
Garbage and Recyclables
Unless prior arrangements are made with Gaston Catering, the client is responsible for waste removal if the venue / location require removal. The health department does not permit Gaston Catering to transport refuse in our catering vehicles. If the event site does not provide garbage disposal, Gaston Catering will arrange for disposal for an additional $300.00.
